One of the most important things you can do to insure that your party is a success is to always consider the event from your guests’ perspective. The song “Be Our Guest” from Disney’s Beauty and the Beast comes to mind when I am visualizing how to structure an event to maximize guest satisfaction. It’s not only a catchy little number, but it also emphasizes the impact of exceptional service. When you are hosting an event, you are the architect of the total experience and it is your job to anticipate the needs of your guests.
I recommend a tool I’ve named the “Be A Guest” (BAG) visualization technique anytime you are planning an event. Throughout the planning process, imagine walking through the event in your guests’ shoes. What do you see, smell, taste, hear, and need? This is the easiest and most effective way to make sure you’ve thought of everything. The “Be A Guest” visualization technique can help you plan almost every aspect of an event from mapping out the flow of your event space to preparing your shopping list.
Though pretending to be a guest at your party is the perfect way to anticipate needs, never lose sight of the fact that you are not your guest. It’s your party, but the party isn’t for you. As with everything from marketing campaigns to television shows you have to know your audience and tailor your message to their specific needs.
